In the print dialog, choose #10 Business Envelope as the paper size and leave orientation on the default. Check the print preview before printing — if it looks upside down, tick Flip orientation above and try again (no need to waste an envelope).

Printing tips

Every envelope this tool prints is laid out to USPS standards: the address sits in the optical-reader (OCR) read area, the barcode strip at the bottom is kept clear, and — with the Uppercase option on — the text prints in high-contrast ALL CAPS. That's what lets postal machines read it cleanly, so your mail moves without delays.

  2. Use black text on a plain envelope.

Printer settings & troubleshooting

Most envelope-printing headaches come down to the paper path and the driver, not the app.

In the print dialog

  • Paper size: pick your envelope (e.g. #10, 9.5 × 4.125 in) — not Letter. Choosing the size lays the address out correctly on its own.
  • Orientation: the address prints in landscape (along the long edge), but the envelope usually feeds short-edge first (portrait). Don't force landscape by hand — Word's Envelopes tool and the envelope paper size already handle the layout. Only change it if a test print comes out rotated.
  • Feed: load one envelope, printing-side up, short-edge first, and match the flap position shown on your tray's feed diagram (it varies by model). Run one blank test before the real thing.
  • Scale: 100% / Actual size, never "fit to page".
  • Source: manual feed or multipurpose tray, not the main paper cassette.

Driver problems

  • Install the manufacturer's driver, not the Windows generic one — the generic driver is usually why envelope sizes and the manual-feed option are missing from the dialog.
  • If your envelope size still isn't listed, update or reinstall the driver from the maker's website.
  • The manual-feed setting often lives in the driver's printing preferences, not the app's print window.

Brand-specific quirks

HP

Use the rear or single-sheet manual feed, not the main tray. If you print via the HP Smart app, the envelope size and feed options live in the full driver — switch to it if they’re missing.

How to print envelopes in Word, Google Docs, Pages & Canva

Print an envelope in Microsoft Word
  1. Open the Mailings tab, then click Envelopes.
  2. Type the delivery address and your return address.
  3. Click Options to choose the envelope size (Size 10 is the standard #10) and the address font.
  4. Load a blank envelope the way the feed diagram shows.
  5. Click Print — or Add to Document to tweak the layout first.

Watch out: The feed orientation in the dialog has to match how your printer actually pulls envelopes from the manual tray. Run one blank envelope first to confirm.

Print an envelope in Google Docs
  1. Google Docs has no built-in envelope tool. The no-install way: File → Page setup → set a custom page size to your envelope (9.5 × 4.125 in for a #10) and switch to landscape.
  2. Add the return and recipient addresses in text boxes (Insert → Drawing, or a one-cell table) and drag them into position.
  3. File → Print at 100% scale, with the envelope chosen as the paper size.
  4. Print envelopes often? There are Google Docs envelope add-ons (Extensions → Add-ons), but you don’t need one for a one-off.

Watch out: The page size in inches has to match your envelope exactly, or the addresses print in the wrong spot — this is the fiddliest of the apps, which is why the tool above exists.

Print an envelope in Apple Pages / Mac
